Best CRM for photographers in 2026 (prices checked)
Direct answer
There isn't one best CRM for photographers. It depends on whether you want galleries in the same tool:
- CRM and galleries in one app: Sprout Studio ($19 to $69 a month) or ShootProof (galleries with contracts and invoices, $9.99 to $60 a month).
- CRM built for photographers, galleries elsewhere: Studio Ninja ($16 to $40 a month).
- General CRM with the most polish: HoneyBook ($29 to $109 a month billed yearly).
- The most control over forms and workflows: Dubsado ($335 or $525 a year) or VSCO Workspace, formerly Táve.
- Free to start: Pixieset Studio Manager has a free plan.

What a photography CRM does
A CRM (client relationship manager) handles the business side of a shoot: inquiry forms, quotes, contracts, invoices, payment reminders, scheduling and follow-up emails. Some photography CRMs also deliver galleries. Most general CRMs, like HoneyBook and Dubsado, do not, so you pay for a gallery platform on top.

Notes on each
HoneyBook. Built for many kinds of small business, not only photographers. Scheduling and automations start on the $49 Essentials plan. Card fees from 2.7% + 10¢.
Dubsado. More setup, more control. Scheduling, automated workflows and Zapier are on Premier only; Starter allows one lead capture form. Full breakdown: HoneyBook vs Dubsado for photographers.
Studio Ninja. Made for photographers. Watch the Starter limits: 5 active jobs and no online booking forms. Pro ($27) removes the job limit and adds 3 booking forms.
Sprout Studio. CRM, galleries, email marketing and scheduling together, commission-free. Lite covers 10 active shoots and 50 GB; Pro and Unlimited remove the shoot limit.
VSCO Workspace. Táve's studio manager became VSCO Workspace after VSCO bought it in May 2025. VSCO now sells it inside VSCO One ($499.99 a year) with client galleries and editing tools.
17hats. One plan with add-ons: online scheduling is $5 to $10 a month extra, and extra users $5 a month each. When we checked, it was offering 50% off the first year.
Pixieset Studio Manager. Pixieset's CRM. It has a free plan, the easiest no-cost start on this list, then Plus at $12 and Pro at $18 a month billed yearly. The Pixieset Suite bundles it with Client Gallery, Store and Website: Starter $28, Pro $38 and Ultimate $55 a month billed yearly ($35, $50 and $65 monthly).
ShootProof. A gallery platform first, with contracts and invoices on paid plans and a $4.99 a month booking add-on.
Best free CRM for photographers
Pixieset Studio Manager has a free plan. Most other photography CRMs offer a trial instead, from 7 to 30 days. A free plan is fine for your first few clients. Once you're booking every week, the time saved by automated reminders and invoices usually pays for a paid plan.
How to choose
- Count the tools you'll pay for. A CRM without galleries means a second bill. Compare the pair, not the CRM alone: photography software pricing compared.
- Check which plan unlocks self-booking. On HoneyBook, Dubsado and Studio Ninja, online scheduling is not on the entry plan.
- Check the job or shoot limits. Studio Ninja Starter and Sprout Studio Lite cap active jobs.
- Use the whole trial on a real client. Send an actual inquiry through the contract and invoice before you pay.
Where Grain Issue fits
Grain Issue is a client portal, not a full CRM. Every plan includes online booking with deposits, contracts with e-signature, invoices, proofing and delivery on your own branded site, from $15 a month. See pricing.
What it doesn't do: there are no deep automation workflows, team pipelines or reporting like Dubsado or VSCO Workspace. If you run a multi-shooter studio on those, keep your CRM. More: best client portal for photographers.
FAQ
What is the best CRM for photographers?
It depends on your setup. Sprout Studio suits photographers who want CRM and galleries in one app. Studio Ninja is a low-cost CRM made for photographers. HoneyBook is the quickest to set up, and Dubsado and VSCO Workspace give the most control over workflows.
What is the best free CRM for photographers?
Pixieset Studio Manager has a free plan. HoneyBook, Sprout Studio and Studio Ninja offer free trials instead, from 7 to 30 days.
What is a CRM in photography?
Software that runs the business side of a shoot: inquiries, contracts, invoices, payments, scheduling and follow-up emails. Some also deliver client galleries.
Is Pixieset a CRM?
Pixieset's main product is Client Gallery, which is not a CRM. Pixieset sells a separate CRM called Studio Manager, which has a free plan.
Do photographers need a CRM?
Not on day one. A few clients a month can run on email templates and a calendar. Once you're losing track of who has signed, paid or picked their photos, a CRM or client portal saves more time than it costs.
